Onboarding a client as a partner

How a channel partner submits a client for onboarding, what the client sees when activating, how to track onboardings, resend payment links and change your margins later.

This article is for approved channel partners. Everything here happens on the Partner page, which appears as "Partner" in the main menu once your partner account is set up. If you are not a partner yet, see The channel partner program.

How money flows depends on your agreement. On direct billing, the client pays us and your markup is your earnings. On wholesale billing, you are billed for your clients and invoice them yourself, so some fields below do not appear.

Submitting a client for onboarding

  1. Click "Partner" in the main menu.
  2. Click "Onboard a client" at the top of the page (it is also on the Clients and Onboardings tabs). If you see "Client onboarding is paused on your account.", ask your account manager to turn it back on.
  3. Fill in "Client name", "Client email" and, optionally, "Company".
  4. In "Projects", enter how many projects the client needs. The summary below the form shows what that includes and the price that follows from it.
  5. Pick the "Billing interval": "Monthly" or "Yearly".
  6. On direct billing, enter "Your markup / month". The summary shows the "Platform floor", "Your markup" and what the "Client pays".
  7. On direct billing, pick "How they pay": "Card via payment link" or "Invoice with net terms".
  8. Enter "Agent markup / hour": your margin on every hour of agent time this client buys. It starts from your standing default and can be changed later.
  9. On direct billing, answer "Who owns the workspace?":
    • "The client": they set their own workspace up and own their code, as usual.
    • "You": you own the workspace and the codebase, and the client joins as a member without access to the source. Enter a "Workspace address" (letters, numbers and hyphens); it is suggested from the company name. Billing does not change.
  10. Optionally, add context under "Anything we should know?".
  11. Click "Submit for approval".

Nothing is created and nobody is charged at this point. We review every onboarding by hand, usually within one business day.

Note: A submission is refused if the email already belongs to another partner's client, already has an active paid subscription with us, or already has an onboarding in progress. Talk to us in those cases.

Tracking your onboardings

  1. On the Partner page, click the "Onboardings" tab.
  2. Check the "Status" of each submission:
    • "With us for review": we have not decided yet.
    • "Awaiting payment": approved; we are waiting for the client's first payment.
    • "Active": the client's account is live.
    • "Declined": not approved. The reason is shown under the status.
    • "Cancelled": withdrawn.

This tab shows the terms as submitted. What a live client is priced at today is on the "Clients" tab.

What the client sees

Once we approve, the client gets a welcome email from us. On direct billing, until their first payment clears, signing in takes them to a page titled "One step left" that shows the plan, billing interval and agreed rate.

  1. The client clicks "Pay and activate" and pays on the Stripe checkout page.
  2. Their account activates as soon as the first payment clears.

If the link has expired, the page says so and the client clicks "Get a new payment link". If they pay by invoice, the page says the invoice has been emailed and the account activates once it is paid. On wholesale billing, the client's account goes live as soon as we approve, and the amount is added to your bill.

Resending a project payment link

Each project your clients run is billed on its own.

  1. On the Partner page, click the "Subscriptions" tab. A badge counts projects with a payment open.
  2. Find the project in "Project subscriptions".
  3. Click "Pay now" or "Get payment link". The link is sent to the client, and a confirmation says "Payment link sent to the client."

Extending a deadline or waiving a project stays with us; ask your account manager.

Changing your margins on a client

  1. On the Partner page, click the "Clients" tab.
  2. Find the client and click "Edit margins" in the "Your margins" column. The "Your margins" window opens.
  3. Change "Agent markup / hour". It applies to the client's next agent-hour top-up.
  4. Change "Subscription markup / month" if it is editable. The window shows the "Platform floor", "Your markup" and what the "Client pays". If the subscription margin cannot be changed right now, the window explains why instead.
  5. Click "Save margins".

A new subscription price is applied at the client's next renewal; nothing is charged today. For a yearly client, that renewal can be up to a year away. While a change is on its way to the client's billing, the client's row shows "Pending".

Watching earnings and payouts

The "Overview" tab shows your agreement and running totals. On direct billing, or once you have any, the "Statements" and "Payouts" tabs list your commission statements and the transfers sent to you, with a "Download" link where a document is attached.
